Job Profile
Position Description The Editorial Assistant provides direct, day-to-day administrative support to the Executive Editor and Developmental Editors for the School Business and Computers Team. This person will provide a wide variety of services as a means to optimize the performance of the editorial effort and, thereby, help its business goals. Essential Duties and responsibilities 1. Provides general administrative support. Examples of these support services include, but are not limited to, duplicating, faxing, mailing, meeting management, travel planning, and more. 2. Assists the Executive Editor in obtaining pre-contract reviews and manuscript reviews. Tracks reviews and creates summaries. Communicates regularly with freelancers. 3. Assists the Executive Editor in the development of product proposals. May assist Developmental Editors in the development of production-ready manuscript. Requests ISBN setups. 4. Assists with preparation, copying, and distribution of vendor contracts, acquisition plans, product proposals and other reports pertaining to editorial functions. 5. Prepares Purchase Orders and Check Requisitions for payment/reimbursement to reviewers, freelancers and others. Processes invoices. Maintains appropriate database records and follows up as necessary. 6. Orders sample product using the Magellan Web Client system. 7. Maintains filing and records management systems and other office procedures pertaining to manuscript reviews, product information, manuscript file, author/reviewer prospect file, and customer feedback. 8. Utilizes computer to verify teacher information, product information, request materials, and to find users of Education Division products. 9. Performs other duties as assigned or as judgment or necessity dictates. Knowledge, Skills and Experience Entry level position: Bachelor’s degrees preferred in English; Communication; Journalism, Business, or Marketing. Proficiency in computer applications such as, word processing, spreadsheets and database. Excellent grammar, punctuation, spelling, and organization skills are required.
